Overview:

GENERAL SUMMARY OF POSITION: 

 

Under the general direction of the Director, the Senior Human Resources Associate is responsible for performing complex and varied duties to support the successful delivery of multiple functions within HR (Talent Acquisition, Benefits, HR Data, Compensation, Labor Relations, Compliance, and ISSO), requiring a high degree of independent action and judgment in interpreting and applying policies and practices.  May provide leadership to less experienced HR Associates.

Responsibilities:

MAJOR RESPONSIBILITIES:

  • Serves as a “partner” to the HR Staff by providing support for work and various projects conducted as part of any one of the HR functions.
  • For Talent Acquisition, supports activities related to Talent Acquisition Planning, Talent Sourcing, Client Engagement/Service Delivery, Talent Acquisition and New Hire Onboarding.  Responsibilities include, but are not limited to: Coordinate tasks related to requisition review and position management; prepare and maintain applicant screening and candidate assessment information; collaborate with other HR departments to facilitate recruiting efforts; coordinates sourcing activities, including posting to external job boards; ensures timely and accurate billing of departments; manages and maintains recruiting and onboarding collateral material; initiate and monitor all new hire processes in iCIMS, ensuring receipt of all required new hire information and forms; assists with auditing applicant tracking system for data integrity related to hiring requirements.
  • For Benefits, supports activities related to New Hire Orientation, Open Enrollment and other Benefit programs.   Responsibilities include, but are not limited to:  leads the orientation for new employees and new residents and the annual open enrollment; assists Benefits Specialist with development of communications materials; manages the post-retiree employment process and leads the tuition reimbursement, waiver, and remission process; enrolls eligible employees in benefits such as medical insurance, dental insurance and life insurance;  audits and completes discrepancy report to ensure appropriate employee coverage, reports all changes to carrier, and resolves problems direct with vendor.
  • For HR Data, supports activities related to management and maintenance of all data, whether electronic or paper, whether within the PeopleSoft HR Information System or mechanical file repository.  Responsibilities include, but are not limited to: leads various data programs such as the annual Resident on-boarding and termination process, the quarterly Social Security audit process, the annual conversion of term files to electronic media (SourceCorp), and other projects that involve management of data, develops and runs queries for auditing and reporting of data. 
  • For Compensation, supports activities related to the management of all data submissions to all Compensation Surveys, coordination of the Position Description Evaluation process, and processing of all employee pay transactions.  Responsibilities include, but are not limited to:  leads various compensation programs such as the annual submission of compensation salary surveys and the compilation of market survey data for the annual market analysis; review and analysis of various compensation spending such as AdComps, Promotions and Equity; assists with the creation of Compensation policies and practices.
  • For Labor, Compliance, and ISSO, supports activities related to the processing and disposition of labor, compliance, and ISSO matters.  Manages the FMLA and other leave process to ensure leaves are properly administered.  Addresses and responds to concerns by phone or in person in a sensitive, timely and accurate manner, assisting other members of the team with resolving the most sensitive issues.
  • Maintains confidentiality regarding employee personal information. Leads other HR Associates on special projects as assigned.
  • Recommends procedure changes and assists with the development of new processes within the department.
  • Ensures timely and accurate Talent Acquisition, Compensation, Employment, ISSO and Benefits processing.
  • Interacts effectively with department contacts and members of the HR team at all levels.
  • Provides project coordination support and/or other duties as assigned by the HR Director or designee.
  • May conduct research on best practices in processes and report findings to management for consideration and assists in implementation of work process improvement and effectiveness initiatives
  • May perform other duties as assigned.

Client Engagement/Service Delivery

  • Operates with a sense of urgency in supporting and responding to inquiries.
  • Answer questions related to human resources policies, services and processes within scope of ability and responsibility.
  • Support managers and employees in understanding UMMS human resources, policies and guidelines.

 

 

Human Resources Effectiveness

  • Provides administrative support for HR initiatives in area of responsibility designed to improve overall service delivery and maintain timely and effective communication for employees and managers.
  • Responds to urgent situations, independently prioritizing activities and effectively coordinating other resources when necessary.
  • Serves as liaison between the assigned units and other human resources staff regarding operations, processes, reports etc. required to support unit operations.
  • Identifies and assists with implementation of process improvements.
  • Assists with auditing data integrity related to processing as appropriate.
  • Assists with surveying employees and managers and compiling data for assigned unit’s service delivery and other performance metrics.
  • Maintains confidentiality and safeguard department records and other sensitive information.
  • May conduct research on best practices in talent acquisition and prepare comprehensive reports for management.
  • Performs duties in accordance with policies, practices, EEO and other legal requirements.
  • Provides project coordination support and/or other duties as assigned by Management.

 

Qualifications:

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in Human Resources, or a related discipline, or comparable experience and competencies.
  • 2-3 years of progressive responsibilities within a complex human resources department.
  • Ability to directly interface with employees and managers to focus on meeting and exceeding required levels of service
  • Demonstrated service delivery experience which includes direct engagement with internal and external clients.
  • Experience should demonstrate familiarity with human resources processes, effective oral, written and interpersonal communication skills, and the ability to effectively prioritize and organize work activities in a fast-paced work environment.
  • Demonstrated initiative and independent judgment in effective project planning and/or project management.
  • Demonstrative commitment to inclusive human resource practices and the ability to support diversity in workforce recruitment and retention.
  • Highly proficient in Microsoft Office Suite and applicant tracking system platforms.
  • Ability to travel to off-site locations.

PREFERRED QUALIFICATIONS:

  • Successful human resources experience within research, academic or healthcare environments.
  • ·Demonstrated success in utilizing social media tools and resources.
  • ·HR Certification (PHR or SPHR)
  • ·Proficiency in PeopleSoft HR Platform or related HR systems
