GENERAL SUMMARY OF POSITION:

Under the supervision of the Administrator or designee, the Project Assistant I is responsible to support the coordination of activities related to a small or medium size project.

 

MAJOR RESPONSIBILITIES:

  • Participate in project teams and coordinate tasks in accordance with project objective(s)
  • Document and maintain records of current project plans, decisions, project reports, schedules, budgets, cost tracking reports, and other pertinent records 
  • Compile data and update databases
  • Prepare spreadsheets, multi-media presentations, statistical, and financial reports for presentation utilizing a variety of software applications including; but not limited to, Microsoft Word, PowerPoint, and Visio
  • Participate in the planning and organization of functions; including event planning and logistics
  • Manage meeting logistics, room reservations, food/beverages, dissemination of materials. Compile and distribute meeting minutes
  • Maintain updated information on proprietary project software and run reports as needed
  • Provide research and administrative support for special projects
  • Screen calls, respond when appropriate, or refer calls
  • Perform other duties as required.

REQUIRED QUALIFICATIONS:

  • Associate’s Degree in business administration, a related field, or equivalent experience
  • 3 years of related experience
  • Ability to work in a team and meet performance deadlines in a dynamic environment
  • Excellent oral and written communication skills
  • Strong interpersonal skills required to interact with all organizational levels; demonstrated ability to work appropriately with confidential information.
  • Demonstrates the ability to utilizes independent judgment, assess priorities, and operate in a flexible manner in order to meet the dynamic needs of the department.
  • Demonstrates excellent organizational, analytical and time management skills
  • Demonstrates proficiency with software applications including, but not limited to: Microsoft Word, PowerPoint, Excel, Access, Project and Visio.

PREFERRED QUALIFICATIONS:

  • Some experience or knowledge of mental health services or research and/or people with lived experience of MHC
  • Experience with youth or young adult mental health advisory councils
  • Experience with proofreading written communication (e.g., grammatical errors, spelling, etc.)
  • Knowledge of video production
  • Knowledge of podcast production and dissemination
  • Experience developing print materials, social media ads/visuals, images, etc.
  • Knowledge of applications used to produce communications, such as Canva, Microsoft Word, Microsoft Excel, and PowerPoint
  • Experience with calendaring and meeting scheduling, note-taking, disseminating action items and task reminders, etc.

Under the supervision of the Principal Investigator or designee, the Project Assistant is responsible to support the coordination of activities related to a small or medium size project. This position will be housed within the Implementation Science and Practice Advances Research Center (iSPARC), which aims to conduct, disseminate, and support the use of research in the public mental health system to enhance services for people with behavioral health conditions that promote their recovery and improve their quality of life (https://umassmed.edu/sparc). As such, we work in partnership with the people whose lives are most affected—individuals with lived experience, their families, and the providers who serve them—recognizing that those with lived experience have expertise that is essential to conduct impactful research, training, and dissemination.

The position will be part of iSPARC’s Communications Team, part of The Learning & Working During the Transition to Adulthood Rehabilitation Research & Training Center’s knowledge translation (KT) team, and part of the iSPARC Stakeholder Engagement Program.
