POSITION SUMMARY:

Under the direction of the Director, Advancement Operations or designee, the Manager of Data and Gift Processing is an essential member of the UMass Medical School Office of Advancement.  The Manager is responsible for supervising data governance and providing strategic leadership and direction to the data and gift processing staff, delivering quality gift and data processing, strengthening existing controls and taking initiative to evaluate and implement new and existing business rules. The individual in this position will supervise the development, implementation and management of guidelines to ensure the quality, accuracy, completeness and integrity of the gift and biographical data entered into and maintained in the advancement database.  The Manager will be an agent of change and embrace goals, metrics, and continuous quality improvement in services to and communications with programs that utilize alumni and donor data. The Manager will develop and execute strategies to enhance donors’ experiences and increase their affinity for UMass Medical School. 

ESSENTIAL FUNCTIONS:

 

  • Foster the establishment and maintenance of best practices in collecting and reporting data to ensure fundraising success, accuracy and interrelationships of data
  • Maintain the highest standards of data integrity, developing proactive strategies to constantly and continuously improve data integrity, database functionality, including adjusting processes and implementation of new measures directed at expanding and improving database capabilities and translation of data into usable, actionable information
  • Be highly collaborative with internal/external department staff including but not limited to Gift Officers, Donor Relations, Corporate and Foundation Relations, Annual Funds, Alumni and Parent Relations, Research, Bursar’s Office, Finance and Office of Sponsored Programs working across functionally to identify gaps and develop solutions which will enhance the overall experience of donors as it relates to gift and biographical data
  • Facilitate daily management of the Advancement database, supervising the processing and receipting of all gifts to the Foundation
  • Ensure proper processing of donor gifts of cash, checks, stocks, mutual funds, and online donations by way of various crowd fundraising platforms
  • Monitors the timeliness and efficiency of processing, reporting project progress to stakeholders by tracking activity, resolving problems and recommending actions
  • Ensure efficiency and accuracy of data for annual audits, tax returns, pledge reporting, etc. in partnership with UMMS Finance staff and UMass Foundation staff
  • Create and prepare reports and charts to illustrate campaign results and metrics for Vice Chancellor of Advancement and Finance
  • Contribute to the overall success of Advancement by working on special projects and performing all other duties and responsibilities as assigned by the Director of Advancement Operations, or designee
  • Compile data and complete CASE, AHP, AAMC and other surveys as required
  • Develop and maintain operational guidelines for the data and gift processing unit, including but not limited to documentation of gift entry, receipting and coding within the Advancement databases
  • Troubleshoot database issues and provide solutions
  • Manage the activities and performance of direct report and provide coaching and mentoring as needed.
  • Train staff in database use as needed

REQUIRED QUALIFICATIONS:

 

  • Bachelor’s degree or equivalent
  • 3-5 years’ experience in related field
  • Progressively responsible experience in data and gift processing management or related experience
  • Convincing track record of developing and implementing an effective, comprehensive gift processing program
  • Mature management skills, the ability to shepherd a targeted effort within a larger and more complex department and operational skills that ensure tactical project management
  • Significant database knowledge and experience, Salesforce experience a plus
  • Strong computer skills – Microsoft Office, Outlook, Excel, and Word
  • Strong customer service-oriented approach
  • Excellent organizational and time management skills
  • Ability to manage multiple, fluctuating priorities from various sources enhanced by problem solving capabilities
  • Demonstrated strategic thinking and initiative – self-starter and self-directed
  • Strong verbal and written communication skills
  • Ability to establish and maintain strong working relationships with staff, volunteers and donors
  • Ability to analyze, interpret, and manage data
  • Absolute accuracy and attention to detail
  • Ability to work nights and weekends as necessary
