POSITION SUMMARY: 

Reporting to the Sr. Administrator in Medicine & CAO and overseeing the Administrative Services Group (ASG), this position is responsible for pre- and post-award management for a multi-level large Department of Medicine for the clinical and research faculty members' sponsored and non-sponsored research and clinical trial funding.

ESSENTIAL FUNCTIONS:

  • Responsible for planning and managing the administrative and business affairs of a multi-level large department whose functions include Research, education and clinical specialties.
  • The Administrator will partner with the Senior Administrator and CAO in Medicine, Neurology, Dermatology & Wellstone. This individual will cultivate a strong relationship with clinical research physicians and research faculty, and other clinical administrative leadership ensuring regulatory compliance and financial management are consistently implemented and maintained across multiple disciplines and research cores.
  • Responsibilities include: high level oversight of proposal and budget development; University and sponsor policy and guideline interpretation for faculty members and their lab personnel.
  • Forecast expenses and providing regular as well as ad hoc financial reports to Department, Chiefs and faculty.
  • Reconcile faculty and lab research needs with overall financial picture and provide recommendations regarding spending rates.
  • Monitor accounts to ensure compliance with federal, University and/or sponsor regulations.
  • Act as overseeing faculty effort report coordination amongst ASG team members.
  • Review contracts, material transfer agreements; approve payments over certain dollar thresholds.
  • Train ASG staff and other administrators who are responsible for managing sponsored awards.
  • Communicate sponsored research policies and procedures. Assist in implementing policies at the department level and recommend process improvements as needed.
  • Assist with resolving issues related to research funding and migrating and/or transferring labs.
  • This position will be a liaison to Office of Sponsored Programs and other relevant offices internally and externally at the UMass Medical School and UMMS Medical Center.
  • Other duties and/or projects as assigned.

REQUIRED QUALIFICATIONS:

  • Master’s degree or bachelor’s degree in Business, Finance, Management, Public Administration, or equivalent experience.
  • Eight years of directly related work experience in an academic university-hospital environment
  • Extensive knowledge of federal and non-federal grant policies and Uniform Guidance.
  • High level understanding of managing core facilities and provide data driven trends of financial analysis and project management
  • Prioritize multiple assignments and meet tight deadlines with a high-level degree of judgement
  • Strong verbal, written and interpersonal skills required.
  • High Proficiency with Microsoft Office, Project Management and especially Excel, data platforms to provide data analytics
  • Analytical ability as evidenced by independent development of solutions and recommendations in the areas of grant/contract management, healthcare and higher education accounting techniques, cost/benefit comparisons, analysis of budget variance and staff resources forecasts.
  • Excellent Communication skills both oral and written are essential.
