POSITION SUMMARY: 

Under the supervision of the Associate Vice Chancellor for Management and Chief of Staff, the Special Assistant to the Chancellor serves in an important and impactful support role within the Office of the Chancellor. As the primary driver for, and personal aide to, the UMMS Chancellor, the Special Assistant is entrusted with coordinating, facilitating and executing the Chancellor’s daily schedule. Given the outward-facing nature of this role, the Special Assistant also acts as a visible representative of, and ambassador for, the Office of the Chancellor to key internal and external constituencies. ESSENTIAL FUNCTIONS:

  • Serves as the Chancellor’s primary driver;
  • Advances the Chancellor’s weekly schedule of events, meetings and other commitments by engaging directly with event and meeting organizers to understand the nature, purpose, program and logistical details of a particular commitment and the Chancellor’s involvement therein;  
  • Prepares the Chancellor’s daily briefing binder and contributes to the production and organization of briefing materials;
  • Accompanies the Chancellor to on- and off-campus events as required and serves as a primary point of contact for event and meeting organizers;
  • Collaborates with key internal offices and departments on event planning and execution, including, but not limited to, high profile campus events and special events taking place at the University Residence;
  • Assists the Director of University and Special Events on events taking place at the University Residence;
  • Contributes, as directed, to the maintenance and operation of the University Residence;
  • Contributes, where appropriate, to conducting research and drafting written correspondence, talking points, reports and publications;
  • Attends meetings, as directed by the Chancellor’s Chief of Staff, to assist with logistics and take meeting notes;  
  • Serves as an Office of the Chancellor liaison to special visitors and university guests; and
  • Engages in other duties and special projects as assigned by the Chancellor and/or Chancellor’s Chief of Staff.

REQUIRED QUALIFICATIONS:

 

  • Bachelor’s Degree or equivalent experience;
  • Proficient writing and presentation skills;
  • Excellent interpersonal skills;
  • Flexibility to accommodate a constantly changing work schedule that includes driving/working outside the regular work day;
  • Ability to travel and participate in business trips as directed; and
  • Valid Massachusetts driver’s license with an excellent driving record.
