GENERAL SUMMARY OF POSITION: Under the direction of the Director or designee, the Project Coordinator I provides analysis and support for projects, administrative, and general operations. Responsible for independent action on multiple projects as assigned. Tasks vary according to the priorities of the department.

MAJOR RESPONSIBILITIES:

  • Organize and plan work activities of the Department for review with appropriate senior staff
  • Implement and manage tasks in accordance with departmental objectives
  • Participate as a member of project teams
  • Assist senior staff with project development activities: compiling data, drafting reports, and assisting with special projects
  • Maintain project plans in Microsoft Project and produce related project reports
  • Compile and analyze data, and draft project reports for review by senior staff
  • Initiate and maintain contact with key personnel including staff, department heads and external parties
  • Update the Director or designee on project details and changes in a timely manner
  • Review pertinent correspondence, communications and other background materials on a daily basis to remain current on project and operation details
  • Draft routine correspondence, meeting minutes, management reports for the Director or designee and department staff
  • Prepare multi-media presentations and reports utilizing a variety of software applications including, but not limited to: Microsoft Word, PowerPoint, and Visio
  • Develop and maintain time schedules for department staff, project events and office activities
  • Maintain project files and support materials
  • Perform other duties as required.

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in business administration, a related field, or equivalent experience

  • 1 year of experience coordinating and planning projects

  • Ability to work in a team and meet performance deadlines in a dynamic environment
  • Excellent oral and written communication skills necessary to interact with clients and staff
  • Demonstrated experience in using computer-based tools including electronic mail, word processing, spreadsheet and database products.

The Center for Health Care Financing (CHCF) is a part of Commonwealth Medicine (CWM), the health care consulting division of UMass Medical School, Massachusetts’ only public medical school. As nationwide leaders in the development and implementation of health care reform, CWM and CHCF stay ahead of health care trends and help strategize and plan for changes that impact both health care delivery systems and patients on the local, state and national level.

Located in Charlestown, MA, CHCF helps state agencies identify opportunities to increase savings and reimbursements through federal and other third party sources, establish effective savings and reimbursement programs, and capitalize on all possible revenue streams. At the same time, we identify opportunities for our clients to increase health care related services, reduce the net cost of delivery, and help ensure individuals receive the health and human service benefits to which they may be entitled.

The PHI unit at CHCF extends these services to state and local public health authorities to enhance their ability to sustain essential health care services to communities by identifying payers for these services and coordinating with other payers to seek reimbursement for these services. PHI provides its clients with comprehensive medical billing and accounts receivable mechanism, as well as other services, to maximize the collection of federal, third-party, and private reimbursement for health care and related services provided by state and local public health authorities. The program produces over $8 million in gross charges to liable payers and generates over $3.5 million in net revenue.

Under the supervision of the Operations Supervisor for the PHI unit, the Project Coordinator will work within the PHI unit and be responsible for the data entry and insurance verification of services rendered by state or local public health authorities (clients) for the preparation and submission of claims to liable payers. The Project Coordinator will also assist with training and orientation of new or existing clients with to identify areas of process flow improvements and communicate any program requirement changes in order to maximize reimbursement and operational efficiencies.
